Personal Data that we collect about you
We collect your contact details including your address, email address and a contactable mobile phone number (for all members that wish to be included in the service). We also collect medical information regarding yourself to best be able to advise you regarding suitable classes for you or what gym equipment may not be suitable for you condition/conditions you have notified us of. All information gathered is in relation to the service you wish to use. This is collected through our membership application form submitted by yourself or in our initial meet and greet visit where we cover all questions and details about the service you wish to use. With this we do take a copy of your next of kin contact details and doctor should you be injured or fall ill while on our premises.
Where your personal data is stored and who has access to it
The personal data we collect is stored on paper in a lockable storage system in a private office in LCLC centre address. It is collected and stored by the person who took your registration documents, they may be the receptionist on duty or class instructor / personal trainer. It is solely accessed there after by the on duty receptionist and is not and will not be shared with any third parties. It is also viewable on a digital platform of a business laptop of which is solely accessed by on duty receptionist and is password protected. Any keys we store are done so separately to any personal paperwork and are in lockable storage solely accessed on duty receptionist.
How is your personal data used?
The data we collect and stored is used to ensure we have current and up to date contact information for you if we ever need to contact you regarding your membership and to ensure we have up to date information regarding your medical status, as you see fit for us to know and next of kin details are current. In an emergency we may share your personal details with your nominated next of kin where we will inform them of your name, address, medical reason for contacting with your current status. We will use your email address to keep you up to date with our services and business information. Any photographs or videos taken while you are on the LCLC premises may be used for advertising purposes including our website, Facebook page and marketing material. Should you prefer this not to be the case then we must be notified.
How long is your personal data kept for?
The personal data collected will be kept securely stored for as long as you are using the services of LCLC. If after 6 months you have not used a service, LCLC will contact you regarding your data and will destroy the collected data and removed from our database. If you wish to use a service again, new paperwork will need to be completed and the data collected will be stored and accessed by the on duty receptionist only and as detailed above. If you wish for your data to be deleted, you can inform LCLC and your personal data will be deleted. The only records kept will be invoices and receipts in order to satisfy HMRC protocols. These may be stored for up to 7 years due to record keeping.
What do you need to do?
If you continue to use LCLC and the services provided it is assumed you are happy with the data we collect, how it stored and used.

- email (class details/ notifications of business changes or service changes)
- text message/ phone call (for daily updates/ queries or concerns)
Then you don’t need to do anything.
For anyone with questions or concerns regarding our collection, storage and use of your data please do let LCLC know. If you wish for your data to be destroyed and to end your services with LCLC then please do reply to this email with notification of this.
